Scope of This Privacy Policy
This Privacy Policy applies to personal information we collect:

- when you create or use a TraitX account;
- when an employer, recruiter, or organization invites you to use TraitX as a candidate, applicant, employee, or contractor;
- when you complete assessments, simulations, interviews, or other workflows through the Services;

- when we receive data from integrations, service providers, or other third parties; and
- when we collect usage, device, security, and integrity-related data in connection with the Services.
This Privacy Policy does not govern how a hiring organization, employer, recruiter, or other customer independently handles your personal information outside the Services. If you are using TraitX because an employer or other organization invited you, that organization may have its own privacy notice, terms, and internal policies that also apply.
Roles of the Parties
In many cases, TraitX provides the Services to business customers such as employers, recruiting teams, and organizations. In those cases:
- the customer may decide what information is collected, what assessments are used, who is invited, and how results are reviewed;
- TraitX may process personal information on behalf of that customer in order to provide the Services; and
- the customer may be independently responsible for its own legal obligations relating to employment, privacy, notice, consent, accessibility, and hiring decisions.
If you are a candidate, applicant, employee, or contractor using TraitX through a customer’s account, the customer may control certain aspects of your information and experience.
Personal Information We Collect
a.Information You Provide Directly
This may include:
- name, email address, phone number, mailing address, and other contact details;
- account registration information and login credentials;
- employer, organization, role, department, and related professional information;
- job applications, resumes, cover letters, work history, education history, qualifications, certifications, and references;
- assessment responses, simulation responses, written submissions, uploaded files, portfolio links, and related materials;
- communications you send to us or through the Services;
- calendar and scheduling information;
- billing, subscription, and transaction-related information;
- support requests, feedback, survey responses, and other user submissions.
b. Information Collected Automatically
When you access or use the Services, we may automatically collect:
- IP address;
- browser type, browser settings, device identifiers, operating system, and related technical data;
- pages viewed, links clicked, referring URLs, timestamps, session duration, and other usage information;

- outputs may be inaccurate, incomplete, or inappropriate for a given context;
- human review may still be required; and
- customers remain responsible for how they use outputs in employment or business decisions.
We may process inputs, prompts, responses, and related materials to provide AI-assisted features, improve service quality, protect the Services, and support system administration, subject to applicable law and contractual commitments.
Legal Bases for Processing
Where required by applicable law, we process personal information on one or more of the following legal bases:

If you use TraitX through an employer, recruiter, or organization, we may disclose your information, submissions, responses, activity, and results to that customer and its authorized users in connection with the Services.

- cloud hosting and infrastructure;
- authentication and identity management;
- analytics and diagnostics;
- payment processing;
- communications and email delivery;
- customer support and ticketing;

- AI and automation tools; and
- professional services such as legal, accounting, audit, and compliance support.
